Sharing Files

Share individual files and folders with a link or by inviting specific people.

Poly lets you share any file or folder with anyone using a shareable link or by adding them to a shared drive.

  1. Access the sharing dropdown from the top right of any folder or file.
  2. Make the file public by adding a public role. Once it is created you can customize its permissions.

Anyone with the link can view the file. They don't need a Poly account to access a public link.

You can revoke a link by removing the public role (open the role selection dropdown and click Remove). This will immediately disable the link for anyone who has it.

Sharing with specific people

To share with a named person:

  1. Open the sharing dialog for the file or folder.
  2. Enter the recipient's email address in the Invite people field.
  3. Choose their permission level: Viewer (can view and download) or Editor (can edit and upload) or Admin (can edit, upload, and manage sharing). You cannot make a recipient an Owner of a shared file or folder (only Shared Drives can have multiple owners or transfer ownership).
  4. Click Send invite.

The recipient can now see that the file appears in their Shared With Me section.

Sharing a folder

Sharing a folder gives the recipient access to everything inside it, including any files added to it in the future. This is a good option for ongoing collaboration on a project.

For more structured team collaboration with team membership and admin controls, consider using a Shared Drive instead.
